What do I need to know when buying a copier today?

Where do I start and how do I cut through the clutter?

Here are some frequently asked questions people have when acquiring copiers and the answers they need.

  1. What criteria are important when acquiring a piece of office equipment?

The answer to this question stays consistent over time - Reliable equipment and fast, efficient service from a local partner. Here are some things to consider when selecting a vendor:

  • Manufacturer
    • Does the manufacturer offer a quality guarantee?
    • What do the independent analysts such as “Buyers Laboratory Inc.” and “BERTL Digital Test Lab” have to say about the manufacturer?

  • Local dealer
    • Does the dealer provide local support for accounting and dispatch?
    • Does the dealer guarantee fast response time on down machines?
    • Does the dealer inventory sufficient parts locally so my machine can be serviced quickly?
    • Does the dealer provide dedicated computer and network support for connecting the new digital multifunction devices to my network?

  1. What is a digital, multifunction device and how does it compare to a copier?

    • All office equipment has become “digital”, simply meaning the information that it transmits or prints comes from a digital file not a picture or image. (A digital file is a representation of any information ie. text, picture, sound, etc. in a language that a computer understands)
    • Once information is recorded as a digital file it can easily be stored, transmitted, printed or copied.
    • When all these functions are incorporated in one device it is called a digital multifunction device; not a copier.

  1. Can one multifunction device replace all the copiers, printers and fax machines in my office?

    • That all depends on your applications and the volume you do with each function. (To determine the right configuration for your office, one of our sales consultants can help you do an analysis of your applications and develop an action plan that meets your needs) For more information, check out Encompass under Decision Making Tools below.

  1. Should I purchase or lease my office equipment?

    • See Power Point Show. (The preceeding link is a PowerPoint presentation and requires the PowerPoint viewer. If you do not have the PowerPoint viewer, please click here to download this free software.)

  1. Are there any tools that can be used to analyze my office environment and select the best equipment and software to handle my applications?

    • Yes, Encompass is a database tool that we use to analyze equipment usage and cost of ownership. For more information, check out Encompass under Decision Making Tools.
